Reservations
Wellness and Recreation welcomes NC State registered student organizations and departments, as well as groups not affiliated with NC State to reserve space with us. Please follow the steps below to make your reservation for all other spaces.
NC State Groups
Step One: Determine Your Event Type
Before submitting a request, groups need to determine if they fall in the “Major Event” category per NC State guidelines. Major events are ones in which two or more of the following conditions apply:
- Over 150 persons are anticipated to attend, and/or the attendees will include visitors and other non-university affiliated individuals;
- The Responsible Administrator determines that the complexity of the event requires the involvement of more than one University administrative unit;
- The Responsible Administrator determines that the event is likely to significantly affect campus safety and security (based on assessment from University Police) or significantly affects campus services;
- The Responsible Administrator determines that the event has a substantial likelihood of interfering with other University-sponsored events, activities, or essential University processes;
- The event features an elected official or candidate at the federal, state, or local government level.
- The event is a dance or concert; regardless of how many attendees;
- The event extends the normal operating hours for the space;
- Alcohol is intended to be served; or
- Outdoor amplified sound is requested.

Step Two: Review Event Guidelines

Non-Major Events: Please review the Wellness and Recreation Guidelines, and see below for more information about our spaces and rates.
Step Three: Submit Event Registration Forms
Major Events: Register your event using the Major Event Registrations – Emergency Management & Mission Continuity form.
Non-Major Events: Use one of the forms below to submit a request based on your event type and location needs.

Step Four: Confirmation
Event organizers will receive a confirmation to review, sign and return. Your event will be scheduled when:
- Cost estimates are accepted.
- Your confirmation has been signed and returned.
- If applicable, you will also be required to review and sign an NC State University Facility Use Agreement and provide proof of $1,000,000 liability insurance.
- For all Non – NC State External users, a non-refundable reservation fee: 50% indoor space, 10% outdoor space will be charged to you.
Step Five: Payment
The event organizer will receive an invoice after the event has occurred. Specific instructions for payment will be provided at that time.
Unaffiliated Groups

Available Spaces and Rates
The Willis R. Casey Aquatic Center is a multi-use facility for recreation, club sports, athletics, Health and Exercise Studies classes and private groups. Features include:
- 25-Yard Pool: Up to 11 lanes configured for lap swimming, dive well and ADA compliant pool chair lift.
- 50-Meter Pool: Up to 18 short-course lanes or 8 long-course lanes and an ADA compliant pool chair lift.

The Wellness and Recreation Center and Carmichael Gym complex provides 430,000-square-feet of recreation, fitness and wellness spaces. Reservable spaces include:
- Indoor Basketball Courts: Up to 11 courts that can be configured for multipurpose activities with badminton, basketball and volleyball court lines.
- Multipurpose Studios: Up to two studios (room 1240 or 2016) that can be used for fitness classes or multipurpose activities.
- Racquetball Courts: Up to 10 courts with second floor viewing and protective netting above walls.
- Tennis Courts: Up to 12 hard surface courts that are gated.

Wellness and Recreation manages several outdoor spaces through NC State’s campus. Reservable spaces include:
- Centennial Recreation Fields: Up to two multipurpose fields located near our 9-hole disc golf course. Field dimensions: Lower Field: 200×270 ft. and Upper Field: 200×255 ft.
- Method Field: Up to two gated multipurpose fields with on-site restrooms and stadium lighting. Field dimensions: 260×330 ft. and 235×380 ft.
- Miller Field: Up to three gated multipurpose fields with stadium lighting. Field dimensions: 650×240 ft., 490×240 ft. and 295x230ft.
